Administrative Assistant

The Administrative Assistant provides comprehensive administrative and organizational support to department leadership and staff, helping ensure the efficient operation of daily business activities. This role is responsible for coordinating schedules, managing communications, preparing reports and presentations, supporting special projects, and serving as a key resource for administrative functions. The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment.
Location: Covert, MI (On‑site)
Primary Responsibilities:
- Provide day-to-day administrative support to department management and staff.
- Coordinate schedules, appointments, meetings, and conference logistics.
- Maintain calendars and assist with planning and prioritizing activities.
- Coordinate incoming and outgoing correspondence, mail, and documentation.
- Arrange business travel and prepare associated travel documentation as needed.
- Prepare, edit, and distribute reports, presentations, spreadsheets, correspondence, and other business documents.
- Maintain department records, files, and administrative documentation.
- Assist with the preparation, tracking, and updating of functionally related reports and records.
- Ensure accuracy, consistency, and professionalism in all written materials.
- Support departmental projects, initiatives, and administrative programs.
- Assist with tracking project milestones, assignments, and deliverables.
- Participate in special projects and provide administrative support to leadership as needed.
- Help coordinate activities and communications among team members and stakeholders.
- Serve as a point of contact for internal and external inquiries.
- Foster positive working relationships through effective communication and customer service.
- Collaborate with team members across departments to support business objectives.
- Exercise professionalism, discretion, and sound judgment when handling sensitive information.
Requirements:
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Previous administrative, office management, or executive support experience preferred.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Experience utilizing business systems and software applications such as PeopleSoft, EARL, or similar platforms preferred.
- Ability to prepare professional reports, presentations, and spreadsheets.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to manage multiple assignments and prioritize competing deadlines.
- Strong attention to detail and commitment to accuracy.
- Excellent interpersonal skills and a positive, team-oriented attitude.
- Demonstrated customer service skills and ability to work effectively with a variety of stakeholders.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
