Payroll Coordinator

The Payroll Coordinator supports payroll operations by ensuring payroll-related data is accurate, complete, and properly communicated to the payroll processing team or external payroll provider. This role plays a critical part in maintaining payroll data integrity, coordinating payroll inputs, and supporting compliance with payroll regulations and internal policies. The Payroll Coordinator partners closely with Human Resources, Benefits, Finance, and external payroll providers to collect, validate, and manage payroll information, including employee changes, time and attendance records, deductions, and supporting documentation. The ideal candidate brings strong attention to detail, excellent organizational skills, and the ability to manage sensitive information with a high degree of confidentiality.
Location: Camden, NJ (On‑site)
Primary Responsibilities:
- Maintain and update payroll records including new hires, terminations, compensation changes, and employee status updates
- Collect, review, and validate timesheets and attendance records prior to payroll processing
- Track payroll adjustments, deductions, benefit changes, and other payroll-related updates
- Ensure accurate data entry and maintenance within HRIS and payroll systems
- Monitor employee changes impacting payroll, including promotions, transfers, and leaves of absence
- Maintain payroll documentation in accordance with company policies and record retention requirements
- Support payroll compliance by monitoring regulatory updates and assisting with audits
- Track garnishments, benefit deductions, and payroll-related tax updates
- Prepare payroll reports and summaries for HR, Finance, and leadership
- Support reconciliation of payroll data across HR, payroll, and finance systems
- Identify payroll discrepancies and escalate issues for resolution
- Respond to employee inquiries regarding pay, deductions, and payroll records
- Coordinate with payroll processing teams or external vendors to resolve payroll-related issues
- Maintain payroll timelines and ensure deadlines are met
- Collaborate with HR, Benefits, and Finance teams to ensure payroll data accuracy and alignment
Requirements:
- Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, or a related field
- 1–3 years of experience in payroll support, HR operations, or administrative support
- Strong proficiency in Microsoft Excel
- High attention to detail and accuracy in managing payroll-related data
- Strong organizational and communication skills
- Ability to maintain confidentiality of sensitive employee information
- Familiarity with payroll systems such as ADP Workforce Now or similar platforms preferred
- Basic understanding of payroll compliance requirements, including wage and hour laws and tax reporting
- Experience supporting payroll audits or reconciliation activities preferred
- Familiarity with time and attendance systems preferred
